JOB SUMMARY
The Councillor's Assistant, Research and Communications prime is accountable for managing and delivering a wide range of strategic and operational services and processes in support of the Councillor and the Councillor’s agenda including: strategic management of issues, committee analysis and development, development and infrastructure files and project management.
DESCRIPTION OF RESPONSIBILITIES
- Prepare Council and Committee binders for the Councillor in her role as Council member or Committee member and chair.
- Conferring with the Councillor to review Council/Committee initiatives and emerging issues.
- Reviewing correspondence and documentation upon receipt and referring it to the appropriate City staff for comment and input. Following up with staff on the status of referred correspondence and expediting required input.
- Reviewing documentation upon receipt and drawing key points to the Councillor’s attention, then following up with staff as directed by the Councillor.
- Responsible for public consultations and communications related to development and infrastructure files.
- May provide general administrative support services to the Councillor by undertaking the following:
- Ensuring that the Councillor’s office is in compliance with all protocols and procedures required of an elected official
- Organizing, developing, and maintaining filing and information systems. Ensuring ready access to documentation and information.
- Implementing office procedures which allow the Councillor to efficiently review and draft correspondence.
- Primary Work Location is at City Hall (110 Laurier Ave W)
EDUCATION AND EXPERIENCE
Post Secondary School Diploma.
University degree in Business Administration, Public Administration, Journalism, Communications, English or related program.
KNOWLEDGE
- Mandate, structure, and protocol of Council and its committees
- Policies, protocols, and procedures required of a Councillor and the Councillor’s office
- The demographics of the Councillor’s ward, current initiatives and issues within the ward
- Knowledge of City administrative structure
- Knowledge of City services and policies
- Knowledge of Microsoft Office
- Office protocols, systems and procedures

- Excellent written and oral communication
WHAT YOU NEED TO KNOW
- Language Requirement: English oral, reading, and writing. French oral, reading, and writing
- Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements.
