JOB SUMMARY

You are responsible for providing a range of administrative support services to the Manager’s office, ensuring confidentiality and efficient conduct of business, and providing general support to other staff in the assigned branch.

EDUCATION AND EXPERIENCE

Completion of Grade 12

Minimum of 3 years of related experience in progressively responsible administrative functions

KNOWLEDGE

  • Office practices and procedures, including records management
  • Sound knowledge of the branch’s programs and structure combined with good knowledge of the department and general knowledge of the city at large
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.

COMPETENCIES, SKILLS AND ABILITIES

  • Utilize computer programs such as Word, Excel, PowerPoint, Outlook and SAP
  • Gather and compile statistical information
  • Type accurately at 60 wpm
  • Communicate effectively, both verbally and in writing
  • Use tact, discretion and confidentiality, combined with reliability and good judgment
  • Good oral communication skills
  • Exercise initiative under general direction
     

WHAT YOU NEED TO KNOW

  • Language Requirement: 1 position is Designated Bilingual – specific level of language proficiency: French: oral. English: oral, reading, writing. Candidates who do not meet language requirements will be required to participate in training. 1 position -  English oral, reading, writing required.   
  • Police Record Check: The successful candidate will be required to complete a Criminal Records and Judicial Matters Check (Level 2) with the Police Services detachment in their jurisdiction to the City of Ottawa’s satisfaction.; Police record checks completed by a third-party company will not be accepted.  
  • You will initially be paid 95% of your starting rate of pay, in accordance with the collective agreement.
  • Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements. 
  • All future employees must provide proof they are at time of hire, as condition of employment, vaccinated against Covid-19 including up to date additional doses, as recommended by The Canadian Immunization Guide Part 4, Covid 19 Vaccines, for health professionals.
